Information on the processing of your personal data by the Hellenic Certification Institute

At the Hellenic Institute of Certifications we respect the personal data we process and for this reason we take technical and organizational measures in order to ensure their protection. With this Privacy Policy (here in after “Protection Policy”) we inform you about the purposes of processing, use, management and storage of personal data located at: September 59 Athens.
 
The Hellenic Institute of Certifications is the Head of Processing for the personal data that you provide or disclose to us, in order to provide you with our services. Who we are?

The Hellenic Institute of Certifications is active in the field of Certification of Professional Qualifications of Individuals and counseling. The seat of the Institute is Athens. We deal with the Certification of Professional Qualifications of Individuals and consulting following the specifications set by the competent authorities and always aiming to offer our customers high quality services.

What constitutes personal data processing?

Processing of personal data is any act or series of operations performed with or without the use of automated means, on personal data or on personal data sets, such as the collection, registration, organization, structuring, storage, adaptation or change, retrieval, search for information, use, disclosure by transmission, dissemination or any other form of disposal, association or combination, restriction, deletion or destruction. (art. 4 GDPR). The processing concerns personal data that come to the knowledge of the Hellenic Certification Institute, in the context of its coordination and operation.

For which subjects do we collect personal data?

At the Hellenic Institute of Certifications we collect and process data of individuals that you inform us in order to participate in exams as well as data of supervisors and evaluators as well as examination centers in the context of monitoring, evaluation and conducting examinations respectively. you notify us in the context of the exercise of our activities.
We also keep personal data for our employees, as well as our suppliers for the operational needs of our Institute.
Personal data is kept secure and is not transmitted to third parties, except (a) in the context of the legal activities of our Institute, (b) when an obligation to comply with a legal obligation is required. Personal data may be passed on to our associates for the operational needs of our Institute and whenever it takes place we ensure the storage and processing of personal data with security and contractual terms of confidentiality.
These data are kept in our files (physical and / or electronic) in order to fulfill the operating purposes of the Hellenic Institute of Certifications.

What information do we collect?

– For individuals: We collect the data that are necessary for participation in the exams and the corresponding invoicing, such as: Name, patronymic, ID number, VAT number, Tax Office, address, PC, telephone, e-mail.
– For Supervisors -Evaluators: We collect the data that are necessary for the implementation of their supervision, evaluation and payment, such as: name, patronymic, VAT number, address, PC, Bank Account.
– For the Examination Centers: We gather the data that are necessary for their approval as an examination center of the Hellenic Institute of Certifications but also for conducting examinations such as: Name, Distinctive Title, TIN, Tax Office, Address, City, Telephone, Email, Name Center, name of examiner.
– For our staff: For the staff the data collected and kept are provided by the labor legislation. These include the information that is necessary for the payment of salary and any allowances. Data referring to the health of the employees are also kept, in order to provide sick leave and special benefits.
– For suppliers / partners: The necessary data are kept for the execution of transactions, such as name / surname, registered office address, VAT number, bank account.

Will we use your data for other purposes?

No, at the Hellenic Institute of Certifications we do not use your data for purposes other than the provision of our services and information and communication with you. In the event that we wish to use your contact details in order to inform you of new activities, we will inform you in advance and give you the opportunity to express your objection to the further sending of informative messages.

When do we delete your data?

At the Hellenic Institute of Certifications we keep your data only for as long as it is absolutely necessary for the processing of the transaction between us and subsequent cooperation, in the context of effective customer service, as well as based on what is required by the relevant legislation. The data we hold is not subject to any processing other than those described in detail in this Protection Policy.

What are your rights?

To process your personal data, you can practice:
A. Right of access (or information) to the personal data concerning you and to receive information about the purpose of processing, the categories of data and the recipients, if there has been a transfer (art. 15 GDPR).
B. Right to correct your data, in order to remove inaccuracies or to fill in gaps (art. 16 GDPR).
C. Right to delete your personal data, without prejudice to par. 3 of art. 17 GDPR, if there is a legal obligation, or there is a reason of public interest, or archiving is kept for reasons of public interest or for the establishment, exercise or support of legal claims (art. 17 GDPR).
D. Right to restrict processing, without prejudice to legal jurisdiction (art. 18 GDPR).
E. Right of objection, without prejudice to legal jurisdiction (art. 21 GDPR).

How can you exercise your rights?

For the exercise of your rights you can contact the Personal Data Communication Manager Maria Giaouri or fill in the corresponding form  that is posted on the website of the Hellenic Institute of Certifications and send it either to the address September 59 593333 Athens, or electronically to e- mail: mg@elinp.gr.
You also reserve the right to submit a written complaint to the competent supervisory authority, the Personal Data Protection Authority (1-3 Kifisias Ave., 115 23, Athens, T: 210 6475600, e-mail: contact@dpa.gr).
 

When will we answer you?

We respond free of charge and without delay, and in any case within one (1) month from the time we receive your request and process the required identification. However, if your request is complex or there is a large number of requests, we will inform you within the month that we will need to receive an extension of two (2) months within which we will respond to you.
